## Position Purpose
To coordinate and perform a wide variety of department/office activities that will increase department/office efficiency, expedite/coordinate the work of others, and ensure the smooth operation of the department/office.

## Special Instructions to Applicants
28 hours/week. Monday - Friday 9:00 am - 3:30 pm with 1 hr. lunch. Can be flexible.

### Key Accountabilities
## Key Accountabilities
General Office Support
Coordinates a variety of activities to support department functions.
Monitors and orders department supplies; tracks postage and photocopying accounts.
Serves as Petty Cash Custodian.
May arrange the logistics associated with grant administration such as gathering information, gathering signatures and compiling documents.
Supervises student interns, student office assistants or other staff.
Communication
Serves as primary point of contact representing the department/office to the institution and external constituencies.
Responds to inquiries from alumni, undergraduates, and prospective students.
Serves as a liaison with numerous College departments.
Serves as a source of information on department policies and procedures.
In the absence of the department administrator, records minutes at meetings and prepares for Chair review and distribution.
Coordinates a wide range of department publicity and communications: advertises academic prizes, colloquia and workshops, and Honors Program events; posts electronically events and resources of interest to department majors and minors.
Proofreads memos and correspondence for faculty and Chair.
Designs and maintains hallway display cases and departmental brochure.
Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.
Information Management
Establishes and maintains faculty files and department information files (e.g. course syllabi, reserve reading lists, book orders, Honors Program records, files stored in Records Management) to ensure accuracy and accessibility of information.
Administers the department's annual and quarterly academic prize awards.
Maintains resource information for department undergraduates on jobs, internships, fellowships, and graduate programs.
Schedule Coordination
Maintains multiple schedules, such as those for department events, use of our seminar room, academic terms, Honors Program activities, and colloquia and workshops.
Coordinates major recurring department activities including those related to the Honors Program, colloquia and workshops, and lecture series.
Assists in coordinating schedules and itineraries, and orienting new or visiting faculty, staff and guest speakers.
Academic Support
Communicates with students regarding major and minor requirements.
Places book orders and library reserve lists.
Distributes and tabulates course evaluations.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
